Service Transfer Requests
Follow every ownership handover a client starts on their own service from one queue, and decide yourself which service moves to which account.
Opening the Screen
Open Orders › Service Transfers from the side menu: {admin}/services/transfers
The counter beside the menu entry counts only the requests still waiting for a decision. The same number is added to the Orders group counter above it.
You cannot create a request here. A transfer starts in the client area, where the current owner names the new owner by e-mail address and confirms with their own password.
What Is on the Screen
A banner under the title repeats what approving and deleting do. Everything else fits into five areas.
| Area | What it holds | When it appears |
|---|---|---|
| Options bar | Apply to Selected and the Status filter | Under the banner; on a narrow screen behind Show Options. |
| Table strip | Show Records, the search box, the download icon | Above the rows; the icon needs the export privilege. |
| List | Service, From, To, Requested, Status | Always; the tick box column needs the service operation privilege. |
| Row menu | Approve and Delete | End of every row, behind the three dot button. |
| Confirmation window | What is about to happen, and the parties | On every approval and deletion. |
The Options Bar
Apply to Selected on the left offers Approve and Delete. It acts on the ticked rows and resets after each run.
Status on the right narrows the queue to Pending Approval or Approved. It applies as soon as you choose a value, and the empty entry brings the whole queue back.
The List and Its Columns
The tick box at the start of a row appears while the request reads Pending Approval. An approved row has none, so it cannot join a bulk run by accident. The header box takes every selectable row on the page.
Service opens the service detail page and carries the service number underneath. A deleted service shows that number in place of its name.
From is the client giving the service away, To the one receiving it. Both name the client with the company underneath and open the client record.
Requested is when the client started the transfer, written as elapsed time, with the exact date on hover. It is the only sortable column. Status shows Pending Approval or Approved.
A request the sender withdrew, or the receiver turned down, stays in the queue with an empty Status cell. No filter value matches those rows, and their row menu offers only Delete.
Waiting requests open at the top, approved ones below, withdrawn or rejected ones last. The search box matches the client names, e-mail addresses, company names and the service name.
The Row Menu
Every row ends with a three dot button. Approve appears while the row reads Pending Approval. Delete appears on every row, approved ones included. A read-only account sees an empty cell here.
The Confirmation Window
Nothing happens straight from the menu or the bar. Both actions open a window first, and that window does the work.
For one row the window is titled Approve Transfer or Delete Transfer Request, and reads the row back under Service, From Client and To Client. For a selection the title becomes Approve Selected Transfers or Delete Selected Transfers, and Selected transfers gives the number of requests instead.
The middle block states the consequence: Ownership will be reassigned or Requests will be deleted. Close the window with Cancel, or confirm with Approve or Delete at the bottom. No password is asked.
An approved row turns to Approved where it stands, and a deleted one leaves the table. The page is not reloaded either way.
Downloading the Queue
The download icon on the table strip offers CSV, JSON and XML. The file follows the status filter, search text and sorting in force, and ignores paging, so it holds the whole filtered queue.
Fields
Tasks
Approving a single request
- Open the three dot menu at the end of the row and choose Approve. It is there while the row reads Pending Approval.
- In the Approve Transfer window, check Service, From Client and To Client against what the two clients agreed.
- Click Approve at the bottom of the window.
- The service moves to the receiving client at once, the row turns to Approved and the handover is written to the service history.
Approving several requests in one go
- Tick each waiting row, or use the header box to take every selectable row on the page.
- In the options bar, choose Approve from Apply to Selected. On a narrow screen open Show Options first.
- Check the count in the Approve Selected Transfers window and click Approve at the bottom.
- Every selected service moves to its receiving client. If one request fails, the run stops there with a message and the rest keep their old state.
Removing a request from the queue
- Open the three dot menu and choose Delete. For several at once, tick the rows and choose Delete from Apply to Selected.
- Read the parties, or the count, back from the window that opens.
- Click Delete at the bottom of the window.
- The row leaves the table. A waiting request is cancelled and the service stays with its owner. An approved row only loses its place in the queue.
Finding a particular request
- Use Status to keep only the waiting requests, or only the approved ones.
- Type part of the service name, or of either client's name, into the search box.
- Sort by Requested from its header to bring the oldest waiting request up.
- From the narrowed list, open the service from Service and either party from From or To.
Things to Watch
The owner of the service changes the moment you approve, and this screen cannot reverse it. Putting it back means the new owner starting a fresh transfer from their own client area.
Left alone, a request waits for the receiving client to confirm it through a link mailed to them, valid for seven days. Approving from this queue hands the service over without that confirmation. Use it when you know the receiving client agreed.
Nothing closes a request when those seven days run out. It keeps reading Pending Approval although the link no longer works, so a row waiting on you may be one the client can no longer accept. Delete is what closes it.
Only the client the service is registered to changes. The account on the server, the service settings, the renewal date and the invoices already issued stay as they were.
Required Privileges
Opening the queue needs either SERVICES_LOOK or SERVICES_OPERATION. Approving and deleting need SERVICES_OPERATION. Staff with the read privilege alone can filter, sort, search and download the queue, but see no tick boxes and no row actions. The download icon also needs the table export privilege.
