Keep your bulk e-mail and SMS drafts in one place, and book the ones that should go out on their own.

Opening the Screen

Panel menu: Clients, then Marketing, then Bulk Notifications: {admin}/tools/bulk-notification

The screen opens on Drafts. The address carries the tab: {admin}/tools/bulk-notification?tab=scheduled-tasks

What Is on the Screen

Two tabs, a list in each.

Drafts The messages you have prepared. Columns: Draft Name, Type, Recipients, Created and Last Sent. Recipients names the audience, Client or Staff Member, and never a count. Last Sent stays empty here: only a scheduled task run fills it, and Send Now never does.
Scheduled Tasks Drafts booked for a date. Columns: Task Name, Period, Frequency, Scheduled Date, Last Execution and Status.

A task is Active or Paused. In both lists the name links to the editor, and the three-dot menu at the end of a row holds Edit and Delete.

Create Draft opens the new draft form. Create Task opens the Schedule New Task window over the list.

Fields

Apply to Selected

Tick the rows first, then pick an action. Each tab has its own box.

Apply to Selected, on Drafts Offers Delete. It asks for your panel password.
Apply to Selected, on Scheduled Tasks Offers Pause, Resume and Delete. Only Delete asks for your password.

Schedule New Task

Select Draft Required. Lists drafts only, and you cannot swap it after saving.
Period One-time, the default, or Recurring. Your choice decides what the next row offers.
Sending Time One-time only. A single date and clock time, required.
Month box Recurring only. Starts on Every Month.
Day box Recurring only. Starts on Every Day.
Clock box Recurring only, and required. It sets the hour of every run.

Save Task opens once a draft and a time are set.

Tasks

Book a draft for a date

  1. Open Scheduled Tasks and click the Create Task button.
  2. Choose the draft, the period and the time.
  3. Click the Save Task button. The task joins the list as Active.

Change when a task goes out

  1. Open the three-dot menu on the task row and choose Edit.
  2. Set the new period and time. The draft behind it is untouched.
  3. Click the Save Task button while it is still on. The Scheduled Date column follows.

Pause a task for a while

  1. Tick the rows and choose Pause under Apply to Selected.
  2. Confirm. The rows turn Paused and send nothing.
  3. Resume starts a recurring task again at its next scheduled time. A one-time task whose moment has passed goes out on the next automation run.

Things to Watch

A task holds its own copy of the draft

Booking a task copies the draft as it stands at that moment. Later edits to the draft never reach the task. To change what a booked task sends, open the task by its name and edit it there.

Editing a task's timing is limited

In the edit window the Save Task button switches off as soon as you change the period or a time box. Only the month and day boxes leave it on. To move a task to another time, delete it and book the draft again.

Deleting cannot be undone

Deleting a draft or a task removes it and its send history for good. Deleting a task does not delete the draft it came from, and deleting a draft leaves its tasks in place.

A time in the past goes out at the next automation run

A one-time task whose moment has already passed is picked up on the next run of the automation instead of waiting. Set the date carefully, and pause the task if you need time to think.

Required Privileges

The screen and every action on it need TOOLS_BULK_MAIL or TOOLS_BULK_SMS. Without one of them the menu entry stays hidden.
