Price catalog products, services or free lines and issue a manual invoice with the right total and due date.

Reaching the Screen

Panel menu: Invoices, then Create Invoice above the list: {admin}/invoices/create

From a client record or a support request, the address carries the client: {admin}/invoices/create?user_id={client}

The top bar create menu and the dashboard widget also land here, without a client.

What Is on the Screen

One form in two columns.

Client and dates Who it is for, its date and its due date.
Invoice Items The catalog picker and the lines.
The issue column Status, notification, currency, payment method, coupon, discounts and the save button.
The ledger Subtotal, discounts, tax and the amount due.

The client and the dates

Pick the client first. It sets the currency, prices the catalog and lists that client's services on the lines. Change Client reopens the search; changing it keeps the lines but drops their service links.

Invoice Date is the date on the document, Due Date the day it falls due.

The lines

Add Product or Service lists active products with a periodic price, plus priced add-ons. Each cycle has its own price chip.

Add New Item opens a blank line for anything else. Both buttons need a client first.

The issue column

Payment Status opens on Unpaid. On an unpaid invoice the client picks the Payment Method at checkout, or you add it from Edit Invoice.

A line under the notification box names the e-mail that will go out. With its template off, the box cannot be ticked.

Coupon appears while the coupon system is on, and skips codes that are order-only, expired, unstarted or used up.

Apply Client Discounts appears with reseller or client group rates. It writes them onto catalog lines as editable discounts, and clears them when turned off.

The ledger

Discount and tax totals appear above zero. The tax total opens into a per-rate breakdown.

The rate comes from your tax settings, and tax applies to a positive base only.

The foot matches the saved invoice under either Taxation Type. On Tax Inclusive the price you type is the tax-inclusive figure: the subtotal shows the taxable base and the payable shows what you typed. Type 120 at a 20% rate and the subtotal reads 100, the tax 20, and the payable 120.

Create opens once a client and at least one line exist.

Fields

Client Required. Search by name, company or e-mail.
Invoice Date Required, starts at today.
Due Date Required, starts seven days ahead.
Payment Status Unpaid, Paid or Cancelled; other states come from the invoice.
Send Notification to Client Ticked when the Unpaid template is on. A later status change does not tick it for you.
Currency The client's currency, or the system default with no client.
Payment Method Visible on Paid only, and optional. Lists the enabled methods.
Coupon Optional. One coupon per invoice.
Apply Client Discounts On by default. Reaches catalog lines, not hand-typed ones.
Invoice Items At least one line. An empty description is not saved; quantity is at least 1.

What a line carries

More Options holds the rest of a line. In the three-dot menu, Duplicate copies it with its linked service and Delete returns the price chip.

Description Required. What the client reads on the invoice.
Qty Starts at 1 and goes no lower.
Price Unit price, in the invoice currency. A negative price makes a discount line.
Tax Free Off by default. Exempts this line alone.
Tax Rate Empty means the invoice rate; a figure covers this line only.
Discount An amount or a percentage, set by Disc. Type. Reseller and group rates land here.
Client's service Optional, limited to the client's own services, or No Linked Service.

Tasks

Bill something from the catalog

  1. Choose the client, then click Add Product or Service.
  2. Narrow the list with the search box.
  3. Click the price chip of the cycle you are billing. The line arrives ready to edit.
  1. Click Add New Item to open a blank line.
  2. Open More Options and pick the service under Client's service.
  3. The price comes from the service, and the description while yours is empty. The line now carries a Linked to service mark.

Issue it and tell the client

  1. Choose the payment status.
  2. Read the notification line: it names the e-mail that will go out.
  3. Check the ledger and click Create. The invoice is saved and its detail page opens.

Things to Watch

Paid on creation records the document, not the money

An invoice created as Paid is saved as settled. No payment is recorded, nothing reaches Cash Management, and the number comes from the paid sequence. When the money has arrived, issue it as Unpaid and add the payment on its Payments tab.

Settle the currency before the amounts

Changing the currency once lines exist does not convert them. The catalog is re-quoted; hand-typed amounts and the service list are not.

A linked service is a record, not a renewal

Linking a line to a service records what the invoice is for. Paying it does not move that service's dates or cycle; extend it from the service's own screen.

Required Privileges

Everything here needs INVOICES_OPERATION. The client search also needs a client right, or it comes back empty.
