Editing a Notification Template

One event, one screen: here you write what the notification says in each language and decide who receives it over which channel.

Opening the Screen

Open Notification Templates and click a template name, or choose Edit in its row menu: {admin}/notifications/templates/edit?group={category}&key={template}

What Is on the Screen

Language strip At the very top. Every language active on the site already has a tab here, so you write the wording on the tab you need. The small cross clears the fields of that language on screen only.
Email, SMS and Panel Notification tabs One channel per tab. The switches on all three count for every language. They are shown only while the default site language is selected on the strip above.
Code, Preview, Send Test The strip above the message box. Preview shows what you have written filled with sample data, without saving. Send Test opens the fields for a trial delivery. The SMS tab has Content and Preview only.
Template, User and Site Variables Under the form. Each variable is a small tag: click it to copy it, hover it to read what it holds. Template Variables belong to this event, the other two are available everywhere. The list hides itself on the Panel Notification tab and while you preview or test.
Template Engine Usage On the right. Two boxes, one for a condition and one for a loop. They hold ready examples while Smarty or Twig is the active engine. With the engine set to None the loop box says looping is unavailable, and the condition box stays empty.

Fields

The per-language tabs carry only the subject and the message body. Status, the department choice and the channel switches count for every language, on the email, SMS and panel tabs alike. They are on screen only while the default site language tab is selected.

Status The Enable box. Unticked, this event sends nothing at all.
Select Department The support departments whose staff receive the staff copy. Several can be chosen. Left empty, the staff copy still goes out: it reaches the main administrator.
Send email to client Emails the client the event belongs to.
Send email to staff Emails the staff of the chosen departments.
Send PDF Only on Invoice templates. Attaches the invoice document to the email. On until you change it.
Send to external email (BCC) Extra addresses outside the departments, separated by a comma. Optional, and used only while Send email to staff is on.
Email Subject The subject line of the email, per language.
Email body The message itself, written under Code, per language. Variables and the engine syntax are allowed. What you write here sits inside the shared container from Notification Settings.
Send SMS to client Texts the client. It needs a configured SMS module.
Send SMS to staff Texts the staff of the chosen departments.
External Contact Numbers Extra numbers outside the departments. Optional, and used only while Send SMS to staff is on.
SMS text The text message, written under Content, per language. Keep it short: it goes out as plain text.
Show in client panel Drops the notification into the client's panel bell. On until you change it.
Show in admin panel Drops the notification into the bell of the relevant staff. Independent of the email switch.

Tasks

Write the message

  1. Pick a language on the top strip, then open the Email Notification tab.
  2. Fill in Email Subject and write the message under Code, copying the variables you need from the list below.
  3. Repeat for the other languages, then click the Save button at the foot of the form.

Preview it and send a test

  1. Click Preview above the message box. The message appears with sample data, inside its container.
  2. Click Send Test. Leave Send to Myself ticked, or pick departments and add addresses under Send to external email (BCC).
  3. Click the Send button. The trial email goes out with the subject and the text currently in the boxes, saved or not.

Choose who is notified

  1. Select the default site language on the top strip. The switches below are hidden on every other language tab.
  2. On the Email Notification tab switch Send email to client and Send email to staff on or off.
  3. Pick the departments in Select Department above the tabs, and add any outside addresses.
  4. Do the same on the SMS Notification and Panel Notification tabs, then save. The new routing shows on the template list at once.

Write the wording for another language

  1. Click the language you need on the language strip.
  2. Write the subject and the message on the tab that opens.
  3. Save. The template now goes out in that language to clients who use it.

Things to Watch

Closing a language tab changes nothing on file

The cross only clears the fields on screen. Saving leaves that language's stored subject and message untouched, and the tab is back the next time the screen loads. This screen has no way to delete a translation that is already saved.

Two templates also control sign-up

Turning off Email Verification stops the address check during registration, and turning off Phone Number Verification stops the phone check. The registration setting follows the template status, so switch these off only when you want the check gone.

Outside addresses are read as a comma separated list

The hint under Send to external email (BCC) asks for one address per line. The notification that goes out splits the field on commas instead. Send Test accepts line breaks, so a trial can pass while real delivery reaches nobody. Write them as [email protected], [email protected].

The bell is its own channel

Panel notification does not follow the email switches. You can stop the email of an event and still let it appear in the bell, or the other way round.

Required Privileges

The NOTIFICATIONS_TEMPLATES permission opens this screen and covers saving the template, previewing it and sending a test.
