Adding and Editing an Administrator

This screen creates a new staff account and updates an existing one's profile, permissions, interface, and security settings.

Opening the Screen

From the Administrators list, click Create Account to add a new staff member, or open an existing member's row menu and click View to edit their account.

What Is on the Screen

The form is split into tabs: Basic Details, Assignment Settings, Interface Settings, and a security tab, labeled Set Password for a new account and Security Settings for an existing one. Editing an existing account adds a Support Analytics tab. Opening account #1 puts a Root Admin badge next to the page title.

Fields

Basic Details

Status
Shown only when editing. Active or Inactive, locked for your own account and for the root administrator. New accounts start Active.
Profile Picture
Optional. Click the photo to choose a new one, at least 300×300 px, in jpg, png, or gif format.
Full Name
Required.
Display Name
Optional. The name clients see instead of the real one. Leave it empty to show the full name.
Email
Required and must be unique across the system.
Contact Number
Optional. Checked for a valid format and uniqueness when filled in.
Notes About Staff
Shown and editable only when you are the root administrator. The staff member never sees it.

Assignment Settings

Privilege Group
Required, and locked for your own account and for the root administrator.
Assigned Department
Optional. Pick as many departments as apply.
Ticket Signature
Optional. Added to this staff member's replies on support tickets. Write one per language. The variable badges shown above the box are a reference list only: they are inserted as plain text and are not replaced when the reply is sent.

Interface Settings

Interface Language
The language this account's panel is displayed in. Defaults to the system's language.
Display Mode
Auto (Recommended) by default, or Light Mode / Dark Mode.
Navbar Style
Vertical by default, or Horizontal.

Security Settings

Authentication
Shown only when editing. Reports whether two-factor authentication is Enabled, with the method's name, or Disabled. A Disable button appears when it's on.
Set Password / Change Password
Type a password twice, or click the wand icon to generate a strong one. A strength meter appears as you type, and the eye icon next to each field lets you reveal it.

Support Analytics

Shown only when editing an existing account. It scores this staff member against fixed support targets and belongs to the paid package. The tab has an article of its own: Support Analytics.

Tasks

Create a New Account

  1. Fill in at least the full name, email, and privilege group across the tabs.
  2. Open Set Password and type a password, or generate one.
  3. Click Create at the bottom of the page to add the account and return to the list.

Edit an Existing Account

  1. Open the account from the Administrators list.
  2. Change the fields you need on any tab, then click Save.

Fields you don't touch keep their current value.

Turn Off Two-Factor Authentication

  1. On the Security Settings tab, click Disable next to Authentication.
  2. Enter your own account password and confirm to turn off two-factor authentication for that staff member right away.

Things to Watch

Disabling 2FA Needs Your Own Password

The confirmation asks for your account's password, not the staff member's, and applies right away.

Some Fields Protect You From Lockout

You can't change the status or privilege group of your own account or the root administrator's. If you don't have the ADMIN_EDIT privilege while editing another account, the whole form becomes read-only, not limited to these two fields.

Empty Password Fields Change Nothing

When editing, leave both password fields empty to keep the current password as it is. Filling in only one of the two also leaves it unchanged, with no warning.

Required Privileges

ADMIN_CREATE
Shows the Create Account link that opens this screen.
ADMIN_SHOW
Opens an existing account for editing.
ADMIN_EDIT
Saves the form, for both new and existing accounts, and disables two-factor authentication.
