Creating an Order

Build an order for a client from the catalogue or a domain lookup and see reseller rates, coupons and tax land on the total before anything is written, so an order is never committed on a guess.

Opening the Screen

Open Orders in the sidebar and pick Add New Order: {admin}/orders/create

The Create Order button above the order list opens the same screen, but it is drawn only for accounts that also hold the product editing privilege, while the sidebar entry follows the order editing privilege. Use the sidebar entry when the button is missing.

The screen always opens empty. Nothing is stored until you press Create, so leaving or reloading discards the whole order.

What Is on the Screen

One form in two columns: the left builds the order, the right decides how it is met. The right column can answer nothing before a client is chosen, because currency, reseller rates, coupon eligibility and tax all follow that client.

Client Band

The Client picker searches on name, company or email and returns the client together with the billing addresses and the reseller record, which is why the rest of the screen can be priced at once. The band then becomes a card with name, company, email and currency code, plus Change Client. A Reseller badge appears beside it only when the client's reseller record is active and carries at least one discount tier; it names the client rather than quoting a rate, and pressing it opens the tier table, because the tier that applies is decided per line. Opened from a client's own screen, the band skips the picker entirely. The client arrives selected and the card is what you see; Change Client switches to someone else. The card leads with the client's profile picture, or their initials when there is none.

Catalogue Drawer

Add from Catalog, right of the Order Items heading, opens a drawer over the list. Its rail shows the product groups that have something to sell with a count each; a group appears only when it is switched on for the system and one of its active products has an active recurring price above zero. Each row carries the name and one price chip per cycle in the client's currency, and pressing a chip adds the line and closes the drawer. Typing searches the whole catalogue rather than the marked group, so a product filed elsewhere is still found. At most eighty rows are drawn while the counter reports the real match count. Stock of exactly zero shows an Out of Stock badge and disables the chips; an empty stock column means stock is not tracked.

The last rail entry, Domain, is a search mode: the pane becomes a lookup box with a Look Up button, and a name typed without a dot gets .com appended. The answer names the state, available or already registered, and offers one chip per year the extension allows from its own price list. A registered name also carries a Whois link opening the registry record in a new tab. The chip adds the line as a registration when the name was free and as a transfer when it was taken.

Order Items

Each line shows the name and group badge, then cycle, quantity, line total and a remove button. The marks under the name are the only place several facts stay visible while the options panel is closed: linked domain, number of selected add-ons, metered billing being on, the reseller rate applied here, a stock warning, and a required field still empty. Two of them block rather than warn, an empty required field and zero stock, and while either is present Create stays off. A quantity above remaining stock or above the per client order limit is only a warning. Quantity is asked for only when the product allows more than one; a domain line has neither quantity nor cycle and carries a period in years.

Configure opens the line's options: price override with its own currency selector, the linked domain field when the product asks for one, the add-ons, the additional information the product collects, and the metered billing metrics. Add-ons take the shape each one declares, a switch, a dropdown, a set of choices or a quantity. Information belonging to an add-on stays hidden until that add-on is selected and is cleared when it is deselected, so an unselected extra carries no stale input. A metric is listed only when it has a price in the selected cycle. Changing the cycle redraws add-ons, required information and metrics, because all three can differ per cycle.

Decision Column

Order status comes first as three chips, Pending Approval, In Progress and Active; cancelled is absent because an order is cancelled after it exists. The billing profile band names the address billed to, and with more than one address a Change button opens the list with the Default one preselected; the tax rate follows the address you pick, and with no address on file the band says so. The invoice band carries Generate Invoice, the Paid and Unpaid chips and the notification switch; Payment Method sits with the chips and stays hidden until the invoice is marked Paid. Switching invoicing off folds away the chips and Payment Method only, so Generate Invoice and the notification switch stay where they are. The coupon picker stays disabled until a client is chosen.

Running Total

The bottom band lists the subtotal, reseller and coupon discounts as their own rows, tax, then the total, all in the client's currency. A discount row opens into a breakdown naming the lines it fell on, printed only when the discount was split across more than one line. The total is recalculated on every change and the selected coupons are re-checked against the current cart shortly afterwards: one that no longer fits is removed with a message saying why, and one flagged for automatic use is added by itself.

Fields

ClientRequired and answered first; everything else is priced from it.

Additional InformationCollected at order time. A required one blocks while empty; file inputs apply the declared limits.
Metered BillingOptional. It records the metric so usage is billed later; the table shows tiers for the selected cycle.
PeriodTerm in years within the range the extension allows; replaces cycle and quantity on a domain line.
Auth (EPP) CodeOnly on a transfer of an extension that requires it; the line waits until it is filled in.
DNS ManagementWith Email Forwarding and WHOIS Privacy, only where the extension supports them. Priced per period.
Order StatusPending Approval by default. It decides how the services are created, not only the order's label.
Billing ProfilePreselected from the default address. The tax rate follows it, so it is more than an invoice address.
Tax ExemptionOff by default. On, it zeroes the tax rate and marks the invoice as not legally taxable.
Generate InvoiceOn by default. Off, the order is created with services but no invoice, so nothing can be collected.
UnpaidThe state the invoice is written in, Unpaid by default. Paid records the payment without collecting.
Payment MethodVisible only while the invoice is Paid. It lists the enabled methods plus a "none" entry.
Send Order Confirmation NotificationOn by default. Left on, the order confirmation goes out the moment the order is created; turned off, no confirmation is sent for this order. Whether a sent notice reaches the client still depends on the template being active and on the client's own preferences.
CouponOptional, multi select. A coupon that cannot be combined excludes the rest and refuses the second pick.
Add an Order NoteOptional free text, folded away until the link is pressed. Stored on the order and visible to the client.

Tasks

Choosing the Client

  1. In the band above Order Items, open the Client picker and type part of the name, company or email address.
  2. Pick the client from the list.
  3. The band becomes the client card, the billing profile and coupon picker come alive, and the empty list invites the first product. Use Change Client in the card to search again.

Adding a Product

  1. Press Add from Catalog, right of the Order Items heading. Without a client it refuses and reopens the client picker.
  2. Pick a group on the rail, or type the product name to search the whole catalogue.
  3. Press the price chip of the cycle you are selling.
  4. The drawer closes, a confirmation appears, and the line lands with its own total while the running total grows by the same figure.

Adding a Domain Name

  1. Open the drawer and pick Domain at the bottom of the rail.
  2. Type the domain name and press Look Up, or the Enter key.
  3. Read the result, then press the chip for the number of years you are selling.
  4. The line is added as a registration or a transfer. On a transfer that needs one, it waits until the Auth (EPP) Code is filled in under Configure.

Setting Up a Line

  1. Press Configure under the line to open its options panel.
  2. Set cycle and quantity on the line, then fill in the add-ons and additional information in the panel. To sell at another price, type it into Price Override and pick the currency beside it.
  3. Watch the marks under the line name: a red mark naming a required field means the order is still blocked, and it clears as the field is filled.

Applying a Coupon

  1. Add every line first: eligibility is measured against the cart, so a coupon with a minimum amount or a required product becomes selectable only once the cart satisfies it.
  2. Open the Coupon picker in the right column and select one or more codes. A code that cannot be combined with the current selection is refused with a message.
  3. The codes appear as chips and a discount row appears in the running total. A later change that pushes a coupon out of scope removes it by itself, with a message saying why.

Deciding the Invoice

  1. Confirm the billing profile with Change if the client has more than one address, since the tax rate follows it.
  2. Leave Generate Invoice on to raise an invoice with the order, or switch it off to create services with no invoice.
  3. Pick Unpaid or Paid. Choosing Paid reveals Payment Method in the same band; pick the method the money arrived through.
  4. The running total updates with the tax the chosen profile implies, and the invoice is created in exactly that state.

Creating the Order

  1. Check the running total, opening the discount rows if a figure needs explaining.
  2. Press Create below the total. It stays off while no client is chosen, while the list is empty, or while a line carries a blocking mark.
  3. The order, its services and, if enabled, its invoice are written together and you return to the order list with a confirmation. Open the new order there to approve, cancel or delete it.

Things to Watch

Active does not always mean installed

Creating the order as Active does not push every service to its module there and then. A product bound to a module is created in progress and queued for setup only when that product has automatic setup switched on; otherwise it waits for a manual push from the service screen. A domain line is the exception: while the extension has a registrar module, it always goes into the queue. Open the new order and check. The note printed under the status chips, which says choosing Active provisions the services on their modules straight away, is true only for products whose automatic setup is switched on; where the two disagree, this is the binding one.

Creating is immediate and not reversible here

One press writes the order, every service on it and the invoice. This screen has no edit mode and no undo: correcting a mistake means cancelling or deleting the order from the order detail screen, a separate decision with its own consequences for the client.

A client with no billing profile is still taxed

With no address on file the running total shows no tax, but the saved order and its invoice use the default tax rate of the system. Add a billing address to the client first when the tax figure matters.

Required Privileges

Opening the screen and creating the order both need Edit (ORDERS_OPERATION) on orders. The coupon picker and its validation accept either View (ORDERS_LOOK) or Edit.
