Invoice Client Details

99 Aufrufe Markdown

The name, tax details and address on this one invoice, kept as a copy that a later profile change cannot rewrite.

Reaching the Screen

Open the invoice, then the Client Details tab: {admin}/invoices/detail?id={invoice}&tab=client-details.

The tab appears on every invoice whatever its status. A paid invoice freezes its lines, but this block stays editable.

Opening the tab writes tab=client-details into the address, so a link reopens it.

What Is on the Screen

One form, five blocks, and a Save Changes button at the end. Nothing applies until you save.

Invoice Profile The client's saved billing profiles. Choosing one fills every box below.
Account Type and Full Name Who the invoice is made out to: an individual, or a company with a contact person.
Identity National id, tax number and tax office; the account type decides which of the first two appears.
Contact The e-mail address and phone number recorded on the invoice.
Address and Location Street, then country, state, city and postal code. The three place pickers load in turn.

A Copy, Not a Live View

When an invoice is issued, WISECP copies the client record and billing profile onto it. From then on the invoice document, its PDF and the client's invoice page show that copy. Editing the client leaves issued invoices as they were.

This tab edits that copy; every value here belongs to this one invoice.

The Invoice Profile Picker

The picker lists the client's active billing profiles by label and name, the default first. Choosing one copies the whole profile into the form without saving, so you can still adjust a box.

Individual or Corporate

The choice decides who the document treats as the billed party. Corporate shows the company with the person as its contact, plus the tax number. Individual shows the person and the national id.

Fields

Every box here is optional.

Invoice Profile Fills the rest of the form from a saved billing profile. None only clears the stored link and leaves the values.
Account Type Defaults to Individual. Corporate reveals Company Name and prints the tax number instead of the national id.
First Name With the last name it forms the billed person's name.
Last Name Joined to the first name and stored as the billed party's full name.
Company Name Visible only while the account type is Corporate, and cleared when the invoice is saved as Individual. It is the billed party.
National / Tax ID On the document only for an Individual.
Tax Number On the document only for a Corporate account.
Tax Office Kept for bookkeeping and for add-ons that raise official documents; the standard document leaves it out.
Email The billed address, shown on the document. Invoice e-mails still follow the client record.
Phone Stored in international form; the country flag sets the dialling code and checks the number.
Address The street block, the first line of the printed address.
Country Drives the two boxes beside it: a country loads its states, and changing it empties both. The tax rate stays.
State Closed until a country is chosen, then lists its states. Choosing one loads its cities.
City Closed until a state is chosen. A state with no city list turns the box into a free text field.
Postal Code Shown next to the state in the address block.

Tasks

Correct a Billed Name

  1. Open Client Details and correct First Name and Last Name. On a corporate invoice, correct Company Name.
  2. Click Save Changes.
  3. The page reloads and the document and its PDF carry the new name. The change reaches History field by field, old value and new.

Bill a Different Saved Profile

  1. Choose the profile from Invoice Profile; the boxes below fill at once.
  2. Read what it filled, then click Save Changes. The picker copies the profile whole, address and tax details included.
  3. The invoice now carries that profile's details, and the profile itself is untouched.

Bill the Company

  1. Set Account Type to Corporate; the Company Name row appears.
  2. Fill in the company name, then the Tax Number and Tax Office, and click Save Changes.
  3. The document now shows the company as the billed party, with the person as its contact. The tax number replaces the national id.

Things to Watch

This edit can be overwritten

Nothing saved here touches the client, but the reverse is not symmetrical. Saving a billing profile on the client with Update Invoices ticked rewrites the stored copy on that client's unpaid invoices. Your correction is quietly replaced. The client can do the same from account settings, where the contact form carries Apply this contact to all existing unpaid invoices. A correction on a paid invoice is safe.

Changing the country does not move the tax

The rate the invoice was calculated with lives on the Edit Invoice tab. Changing Country here corrects the printed address and nothing else. If the wrong country changed what is owed, fix the rate there too.

The printed address keeps its place names

Street and postal code reach the document directly. The country, state and city lines come from the names stored when the invoice was issued. This form does not rewrite them. After changing any of the three, open the invoice document and check the address.

Required Privileges

The tab opens with the invoice, so INVOICES_LOOK or INVOICES_OPERATION is enough to read it. Saving needs INVOICES_OPERATION; without it the form still appears and fills, and only the save is refused.

The state and city lists come from the clients screen. Staff with no right in the USERS group see both pickers stay empty.
