The form that opens a task: what has to be done, who does it, for which client and by when.

Opening the Screen

Open Task Planner and click the Create New Task button above the list: {admin}/tools/tasks/create

What Is on the Screen

One form Every field sits on a single page, from the title down to the notification option.
Assign section Choosing Department or Staff opens the matching list right underneath. It appears for administrators.
Create At the bottom of the form. After saving you land back on the task list, with the new task in it.

Fields

Title The short name the task is read by in the list. Required.
Description What has to be done, at length. The search box also looks in here.
Assign Department or Staff. It decides which of the two lists below you fill in.
Department One or more support departments. Everyone in the department then sees the task.
Staff A single active staff member. Only that person sees the task.
Client The client who asked for the work. Type to search; leave it empty for internal work.
Start The day the work starts. Required.
End The day the work is due. Leave it empty when there is no deadline; the list then shows the start date alone.
Status Pending, In Progress, On Hold or Completed. A new task starts as Pending.
Status Notes Where the work stands. Every staff member who sees the task can write here later.
Send Notification Ticked, an e-mail goes out about the task. It reaches the recipients set on the Task plan created template under Notification Templates, not the person you assign here. Off by default, and offered while creating only.

Tasks

Create a task

  1. Write the title and the description.
  2. Choose Department or Staff, then pick from the list that opens.
  3. Select the client where the work belongs to one, and give the start date.
  4. Click Create. The task joins the list as Pending.

Tell the assignee

  1. Tick Send Notification before saving.
  2. Click Create. The notification goes to the recipients defined on the Task plan created template; the assignee's name only appears inside the message.

Things to Watch

Filling the form is open to administrators

Title, description, client and dates are locked for staff without full rights, and the Assign section stays hidden from them. They cannot create a task either: Create answers with a title error, because the locked title never reaches the save. What they do work on is the status and the status notes, from the task detail.

The notification is offered once

The option lives on this form and nowhere else. Once the task is saved, editing it sends nothing, so tick the box now where the assignee has to hear about it today.

Clear the list you are not using

Both lists are saved with the task, not only the one your Assign choice shows. Where you fill a department and then switch to Staff, empty the department list first, or the task lands on both.

Required Privileges

Opening the form needs TOOLS_TASKS. Creating the task also needs full administrator rights (ADMIN_CONFIGURE). The title and the start date are locked for anyone else, so Create answers with a title error (known defect).
