The shared pool of questions and document requests you can put to a client, defined once and reused by every verification filter.

Reaching the Screen

Choose Clients › Document Verification › Fields from the menu, or open {admin}/users/document-verification/fields directly. Both the menu branch and the page itself are closed to staff without the document verification privilege.

What Is on the Screen

A field defined here is never asked on its own. A filter picks the fields it wants from this pool, and a field picked by two filters is still asked once: the client answers it a single time and that answer counts for both.

Notice A line at the top of the page repeating what the pool is for and how filters use it.
Add and Apply to Selected The first two controls in the toolbar. Delete is the only bulk action there is.
Document Verification Filters and Records Two buttons to the other halves of the feature: the filters that decide who gets asked, and the answers clients have sent back.
Type and Status The two dropdowns on the right narrow the list. What you pick stays in the address, so a narrowed list can be bookmarked or passed on.

The List

Each row carries the field label, its type, the filters using it and whether it is active. The label is shown in the panel's own language; where that language was left empty, another filled language is used instead. Used in Filters lists every filter that asks for the field, and shows a dash when no filter does. The search box above the list matches the label shown in the list, and the download button exports the filtered set rather than the visible page.

Clicking the field name opens it for editing, as does Edit in the menu at the end of the row. Delete sits in the same menu.

The Field Window

The same window serves adding and editing. Opening an existing field that filters already use puts a line at the top naming those filters, so you can see what a change will reach before you make it.

Underneath come the status switch and the type selector, then the two file settings, which are shown only while the type is File. Last is one tab per panel language: each tab holds that language's field label and, for the three types that offer choices, that language's option list. The save button stays closed until you change something.

Field Types

Input A single-line answer: an identity number, a tax number, a full name.
Textarea A longer written answer, such as an address or an explanation.
Selectbox One answer from a dropdown you define. Needs an option list.
Radio Selection One answer from a set of visible options. Needs an option list.
Checkbox Tick boxes, so more than one option can be chosen. Needs an option list.
File An upload: an identity copy, proof of address, a signed form. Carries its own extension and size limits.

Fields

Status On for a new field. Only active fields are put to clients; an inactive one stays in the filters that list it but is not asked.
Type Required, one of the six types above. It decides what the client is shown and which of the settings below apply. The type also decides whether an answer is compulsory: Input, Selectbox, Radio Selection and File must be answered before the client can submit, while Textarea and Checkbox may be left blank.
Allowed File Extensions Only for the File type. A comma separated list, as in the example placeholder jpg, jpeg, png, pdf. Left empty, the field carries no list of its own and the installation wide upload extension list applies instead.
Maximum File Size (MB) Only for the File type. The upload ceiling in megabytes; left empty it is stored as zero and a 3 MB default ceiling applies at upload time. Write a value where larger files must be accepted.
Field Label What the client reads as the question. At least one language must be filled, otherwise the field cannot be saved. The client sees their own language, then the panel's default, then whichever language was filled.
Option Name Only for the selection types. One line per option, per language, added with Add Option and removed with the cross beside it. Lines left blank are dropped on save.

Tasks

Add a Field

  1. Use Add in the toolbar.
  2. Pick the type, then write the label on each language tab you serve.
  3. Save. The field joins the list as Active and becomes available to every filter.

Ask for a Document

  1. Open the field window and set the type to File; the two file settings appear.
  2. Write the extensions you accept, and a size ceiling in megabytes.
  3. Label the request on each language tab and save. Clients caught by a filter that uses it now get an upload box.

Offer a List of Choices

  1. Set the type to Selectbox, Radio Selection or Checkbox; the option list appears under each language tab.
  2. Add the options with Add Option, and repeat them on every language tab you serve.
  3. Save. The list shows the field with its type, and the filter picker offers it like any other field.

Stop Asking for a Field

  1. Open the field and turn Status off.
  2. Save. The row reads Inactive, the field stays in every filter that lists it, and clients are no longer asked for it.

Things to Watch

Deleting reaches past this screen

The field is pulled out of every filter that uses it, and every answer clients have already sent for it is deleted with it. None of that can be brought back. Where the field has simply had its day, turning it off keeps the record.

Changing the type clears what the old type carried

Move a field away from the selection types and its option lists are dropped; move it away from File and the extension list and size ceiling are cleared. Saving is what applies this, so check the type before you save an edit made for another reason.

One field, one answer

Because filters share this pool, a client caught by two filters that both want the identity copy uploads it once. Defining a second, near identical field for the second filter undoes that and asks the same thing twice.

Required Privileges

Opening the page and every action on it need USERS_DOCUMENT_VERIFICATION; without it the menu branch is not drawn and the page answers with an access refusal. Bulk deletion always asks for your own panel password; to remove a single field use Delete in the row menu. Downloading the list needs TABLE_EXPORT.
