Creating a Client

Create a client record by hand, without waiting for a sign-up on the website.

Opening the Screen

Go to Clients › Client List and use the Create Client button, or open the address {admin}/users/create directly.

What Is on the Screen

The form is a single page split into six sections. You move through them with the Next button, but nothing stops you from jumping straight to the section you need; only the fields marked as required have to be filled before the record can be saved.

Account Type Individual or Corporate. The choice decides whether the Company Information section applies.
Personal Information Full name, birth date, national ID.
Company Information Company name, tax ID, tax office. Only for a corporate account.
Contact Information Email, mobile and landline numbers.
Billing Address Address, country, state, city, ZIP code.
Preferences, Special Settings and Options Language, currency, client group, billing exceptions, verification and welcome email switches, password.

Fields

Account Type Individual or Corporate. Corporate opens the Company Information section; the tax fields are only stored for that type.
Full Name Required. Used as the client's billing name on invoices and in every list in the panel.
Birth Date Optional. Some registrars and identity checks ask for it later.
National ID Optional. The unique identifier a country assigns to a person, such as a national identity number or a social security number.
Company Name Corporate accounts only. Printed on the invoice above the billing address.
Tax ID Corporate accounts only.
Tax Office Corporate accounts only.
Email Required and unique. It is the sign-in name of the client and the address every notification goes to.
Phone (Mobile) Country code is picked from the flag menu. SMS notifications and phone verification use this number.
Phone (Landline) Optional second number. Never used for SMS.
Address Street address as it should appear on the invoice.
Country Fills the state and city lists, and decides which tax rule applies to the client.
State Enabled once a country is chosen. Countries without a state list keep this field disabled.
City Enabled once a state is chosen. Where no list exists, a free text box replaces the menu.
ZIP Code Optional, but some payment gateways reject a payment without it.
Language The language of the client area and of every notification sent to this client.
Currency The currency the client is invoiced in. Changing it later does not convert existing invoices.
Client Group Optional. Group membership can carry a discount and its own product visibility.
Tax Exemption No tax line is added to this client's invoices, whatever the tax rules say.
Never Suspend Automation skips this client when it suspends services over an unpaid invoice.
Never Cancel Automation never cancels this client's services automatically.
Separate Invoices Every renewal gets its own invoice instead of being merged into one document.
Never Late Fee No late fee is added to an overdue invoice of this client.
Send Welcome Email On by default. Sends the account details to the client as soon as the record is saved.
Verified Email Marks the address as already verified, so the client is not asked to confirm it.
Verified Phone Marks the mobile number as already verified.
Marketing Notifications On by default. Controls whether bulk campaigns may reach this client.
Set Password Leave both password boxes empty to let the system generate one and send it with the welcome email.

Tasks

Creating an individual client

  1. Leave Account Type on Individual.
  2. Fill Full Name, then Email and the mobile number.
  3. Fill the billing address, starting with the country so the state and city lists load.
  4. Pick the language and currency the client should be billed in.
  5. Save. The welcome email leaves immediately if the switch is on.

Creating a corporate client

  1. Set Account Type to Corporate.
  2. Fill Company Name, Tax ID and Tax Office along with the personal fields.
  3. Continue exactly as for an individual client.

Setting the password yourself

  1. Open the Options section.
  2. Type the password twice, or use the generator button to produce a strong one.
  3. Save. The password is stored hashed and cannot be read back later.

Things to Watch

The email address is the identity

A client record is identified by its email address; two clients cannot share one. Changing it later changes the client's sign-in name as well.

The billing exceptions are permanent

Never Suspend, Never Cancel and Never Late Fee take automation out of the loop for this client until you switch them off again. They are meant for a handful of accounts, not for a whole client group.

Required Privileges

Opening the screen needs a privilege from the USERS group; saving the record needs USERS_OPERATION.
