Client Contacts
The people invoices are made out to: each carries its own address, tax details and notification preferences. Separate from the client record itself.
Opening the Screen
Open a client and choose the Contacts tab: {admin}/users/detail?id={client}&tab=contacts
What Is on the Screen
Contacts are listed one per row, each row a billing profile.
Who the contact is
The account type is individual or corporate; choosing corporate opens the company field. The form cannot be submitted without a full name and an e-mail address.
Billing address
Choosing a country fills the state list, and choosing a state fills the city list. Where the chosen state has no cities defined, the city is typed in as free text instead.
Settings and notifications
A contact can be made the default, and the address on the client's existing invoices can optionally be replaced with this one. The notification section carries the categories for e-mail and SMS separately; a whole channel is switched on or off with one button.
Fields
Tasks
Add a billing contact
- Use the add button above the list.
- Pick the account type and fill in the name and e-mail; the save button stays closed until both are given.
- Enter the billing address and, where they apply, the tax details.
- Save. The contact joins the list and can be picked from then on when an invoice is raised.
Change which contact invoices go to
- Open the contact for editing.
- In the settings section, tick the box that makes it the default.
- Save. The previous default loses its mark on its own, and new invoices are made out to this contact.
Apply a new address to existing invoices
- Open the contact whose address you changed.
- In the settings section, tick the box that updates invoices.
- Save. The address on the client's standing invoices now reads the new one too.
Things to Watch
These records only say who an invoice is made out to. The account that signs in is the client record, and the people who sign in alongside them are managed on their own tab.
With that box ticked, saving changes not only what comes next but the invoices already standing. Use it only when the address was genuinely entered wrong.
Each contact carries its own e-mail and SMS categories. Turning invoice notices off for one contact does not change what the client themselves has chosen.
Required Privileges
Reading the tab comes with the client record. Adding, editing and removing a contact needs USERS_OPERATION; without it the add button and the row actions are not shown.
