Read every order in one list, see at a glance which ones are still waiting for you, and approve, cancel or delete them in batches instead of opening each record one by one.

Opening the Screen

Go to Orders › Browse Orders: {admin}/orders. It opens for staff holding the view or the edit permission for orders.

Four further entries in the same menu group open this screen with a status applied, so you land in the queue you work on: Pending Orders ({admin}/orders?filter[status]=waiting), Orders in Progress, Active Orders and Cancelled Orders. The first two carry the size of their queue.

What Is on the Screen

Three parts, top to bottom: the action bar decides what you look at, the advanced filter narrows it, and the table is the answer.

The Action Bar

On a narrow screen the bar is folded away; open it with Show Options under the page title. Apply to Selected acts on the rows you tick and is rendered only for staff holding the edit permission. Create Order opens the order creation screen; it appears only for staff who also hold the product operations permission. Product Group and Order Status are the filters used most often, so they sit outside the panel. Advanced Filter opens the panel below and carries a counter of the filters set in it.

The Advanced Filter

The panel holds the eight filters you need less often, described one by one under Filters and Controls below. They combine, so each one narrows the result further.

Every filter is written into the address bar, so a filtered list can be bookmarked or sent to a colleague. Closing the panel is not neutral: it clears the filters, as the last note explains.

The Table Columns

The table is sorted by status by default, so orders that need a decision float to the top. Clicking a sortable header sorts by it instead.

The strip above the table holds the rest: Show Records sets the page size, and the search box covers order number, client name, company, e-mail and origin address at once. The numeric record ID is not a column, because the order number identifies an order everywhere else; it stays filterable and reaches the downloaded file.

Row Tints and Badges

Two statuses tint the whole row so a long queue can be scanned without reading every badge: waiting for approval is faintly red, being set up is faintly blue. The tint only groups; the Status badge is the statement. Payment Status describes the invoice rather than the order, so a cancelled order can still show a paid invoice.

Downloading the List

The download arrow sits at the right end of the table strip, next to the search box, and appears only for staff holding the table export permission. It offers CSV, JSON and XML.

The file follows the list on screen: filters, search and sort are carried over, paging is dropped, so you get the whole filtered set, not the visible page. It also carries columns the screen has no room for: client e-mail, products and add-ons, currency, payment method, invoice number and origin address.

Filters and Controls

Apply to SelectedEdit permission only. Offers Approve, Cancel and Delete on the ticked rows, and empties itself after each run.
Product GroupKeeps orders containing an item from that group: Domain plus the product groups defined here.
Order StatusKeeps one order status. This is the filter the four menu shortcuts set for you.
IDThe internal record number, matched exactly, for when a log gave you that instead of the order number.
Order NumberMatches any part of the order number, so a fragment of what the client quotes is enough.
ClientA searching selector: type part of the name or e-mail address and pick the client.
Order AmountHow this one matches follows the size of the list. Up to a thousand orders the whole table is already in the page, so the total has to be typed exactly as the Amount column prints it, thousands separator included and without a currency symbol; a fragment returns nothing. Above that the list is fetched page by page and any part of the plain, unformatted number is enough.
IP AddressMatches any part of the address the order was placed from.
Created Date RangeOpens a calendar and takes two dates; a single date narrows the list to that day. The button at its right end decides how the dates are read: Equals, On or After, After, On or Before, Before or Exclude Date.
Invoice StatusComplete for a paid invoice, Incomplete for an unpaid one, Unknown when there is no invoice.
Payment MethodLists only the methods that appear on stored orders, so no option returns an empty result.

Tasks

Narrowing the list down

  1. Set Product Group or Order Status in the action bar; on a narrow screen open the bar first with Show Options.
  2. For anything else click Advanced Filter in the same bar and fill in the fields you need.
  3. The table narrows as you type, the counter on Advanced Filter shows how many are active, and the address bar now describes the same list.

Approving or cancelling orders

  1. Tick the orders in the first column, or the box in the header to take every row on the page.
  2. Choose Approve or Cancel from Apply to Selected. A confirmation window opens and states how many orders you picked.
  3. If any of them has a service connected to a module, the window also shows the Apply on API switch, already on. Leave it on to let the action reach the remote server, or turn it off to change records here only.
  4. Press Approve or Cancel in the window footer. Approved orders move to In Progress and their services start being set up; cancelled ones are closed but keep the order, its items and its history. The table reloads with the new statuses.
  5. Cancelling is not the end of the road. The Order Status list on the order detail screen puts a cancelled order back to Active or In Progress, and that reaches its services too. Only Delete cannot be undone.

Deleting orders

  1. For one order, open the three-dot menu at the end of its row and choose Delete. For several, tick them and choose Delete from Apply to Selected.
  2. Read the window: for one order it names the order and the client, for several it counts what will be removed permanently.
  3. With more than one order selected the window also asks for your own admin password. Type it, then press Delete in the window footer.
  4. The rows disappear. Each order takes its invoice and its services with it, and none of it can be brought back.

Downloading the list

  1. Filter and sort until the table shows the set you want; the file is built from the list on screen.
  2. Click the download arrow at the right end of the table strip; on a narrow screen open the strip first with Show Table Options.
  3. Pick CSV, JSON or XML. The whole filtered set downloads at once, with the extra columns.

Things to Watch

Deleting an order takes its invoice and services with it

Delete is not a stronger Cancel. It removes the order, its invoice and every service created from it, and none of that can be recovered. Cancel keeps the paper trail; delete only records that should never have existed.

Apply on API reaches the real server

With the switch on, approving or cancelling is sent to the server or provider behind the service, not only written here. It is on by default whenever a selected order has a module-connected service, so turn it off deliberately if you are only correcting records.

Closing the panel clears the filters

Closing Advanced Filter resets every filter on the screen, Product Group and Order Status included, and empties the address bar. Leave it open to keep a filtered list.

Required Privileges

Reading the list needs ORDERS_LOOK or ORDERS_OPERATION. Selecting, approving, cancelling and deleting need ORDERS_OPERATION: without it the selection column, the bulk action list and the Delete entry are not rendered.
