Show your bank accounts to clients, collect their transfer notifications and confirm the payment on the invoice.

Reaching the Screen

Go to Settings → Financial → Payment Gateways, open All Modules and click the Bank Transfer card: {admin}/module/payment?module=BankTransfer

Adding the method to the list clients see is covered in Payment Modules.

What Is on the Screen

Status and two country lists sit at the top, the bank accounts below. Accounts are kept per language. The strip shows only the languages that carry accounts, and Add Language opens a new one.

A bank transfer is not an online payment. The order and the invoice are created at once, and the invoice stays unpaid. The client sends the money and submits a notification, then you check your account and mark the invoice paid.

Fields

General Settings

StatusTurns the method on. While it is off, clients do not see the method anywhere.
Accepted CountriesShows the method only to clients in these countries. Leave it empty to show it everywhere.
Unaccepted CountriesClients in the countries you pick do not see the method.

Bank Accounts

Each account is a card. Add Bank Info adds an empty card to the selected language tab.

Bank LogoClick the area on the left of the card and pick an image. Clients recognise the account by this logo.
Bank NameThe name clients see. They pick the account by this name in the transfer notification.
StatusAn account that is off is not shown to clients. A new account starts on.
Swift Code (BIC)Your bank code, for transfers sent from abroad.
IBAN NumberThe IBAN the client sends the money to.
Account NumberFor banks that work with an account number instead of an IBAN.
Recipient InformationThe account holder's name or company title.
Suboffice Name / CodeFor transfers that ask for the branch.

To delete an account, click the bin icon on its card. To reorder the accounts, drag a card by its header. Both take effect with Save Changes.

Tasks

Add a bank account

  1. Open the module card and tick Status.
  2. Pick the tab of the language the account is for. If the language is not in the strip, click Add Language and choose it.
  3. Click Add Bank Info and fill in the fields on the card.
  4. Click Save Changes. Clients using that language now see the account on the order and invoice payment screens.

What the client goes through

  1. The client picks Bank Transfer in the cart or on an invoice. The order and the invoice are created, and the invoice stays unpaid.
  2. The page after the order shows your accounts, the amount due and the reference number. The reference is the invoice number.
  3. The client sends the money, then fills in Account Wired To and Sender's Full Name in the form on the same page.
  4. The client clicks Submit Transfer Notification. The invoice moves to Payment Pending and your staff are notified.

The client can send the same notification from the invoice page. In a bulk payment, every selected invoice moves to Payment Pending.

Confirm the transfer

  1. Match the amount in your bank account by the reference and the sender's name.
  2. Open the invoice: {admin}/invoices/detail?id={invoice}. The sender and account details sit in the History tab.
  3. On Summary, pick Paid under Change Status and click Update Status.
  4. The payment is recorded, and the order and the service are activated. If the money did not arrive, pick Unpaid or Cancelled.

Things to Watch

Accounts are shown per language

A client sees only the active accounts in their own language. In a language with no accounts, the list stays empty and the form asks only for the sender's name. Add accounts for every language your clients use.

A notification is not a payment

A transfer notification does not mark the invoice paid, it only puts it on hold for your confirmation. The service stays inactive until you set the invoice to Paid.

The template decides who is told

The notification goes out with the Invoice Pending Confirmation template. By default it emails your staff and texts the client. Change the channels on the Notification Templates screen.

Closing a language tab deletes its accounts

When you close a language tab and save, the accounts and logos in that language are deleted.

Required Privileges

The settings need Payment Gateways (MODULES_PAYMENT_SETTINGS). Marking the invoice paid needs Edit on invoices (INVOICES_OPERATION).
